Taskworld aims to support less tech-savvy organisations with day-to-day tasks and has introduced an easy-to-use collaborative project management platform. Since 2012, when they applied for a patent, their competitors have emerged and brought similar products to the market.

Here’s how we helped Taskworld upgrade their task management platform while keeping it user-friendly and improving competitiveness with minimal effort on their side.

CHALLENGE

IT companies make the most of software solutions to expand their services and speed up operational processes. Non-digital businesses don’t unlock this potential, sticking to the old ways. Taskworld has decided to transfer this know-how and give hospitality and other industries a technical advantage. The switch would help employees of such organisations maintain a healthy work-life balance, which corresponds with Taskworld’s central values.

The challenge was to create a tool that was easy to navigate, intuitive, and designed to foster collaboration across departments. While Taskworld’s idea could quickly get them to this point, the size of their in-house team and time limitations proved a formidable obstacle.

So, how did we develop additional yet urgently needed features aligned with Taskworld's vision, giving the company extra time to work on core functionalities?

SOLUTION

“Working smarter together” is our client’s tagline, but it could also summarise our cooperation. Its success lies in the proactiveness and independence of Evojam’s team, effective and open communication, and trust that we’ve won with our actions.

SELF-ORGANISING TEAM

We started the project with two software engineers and a project manager, whose main task was introducing MS Teams integrations and workload reporting tools.

As Taskworld’s developers were busy with other assignments, there wasn’t much documentation or time to onboard our team into the platform and teach how everything works inside out.

Thanks to our proactive approach and active engagement in the project, we explored the platform on our own and managed to get to know it to the greatest extent.

Effective learning combined with industry knowledge has allowed us to eliminate bottlenecks, solve problems quickly, and suggest solutions.

Another potential obstacle lay in the time zone difference. With our client located in Singapore, we operated six hours apart. Communication across time zones can create a lot of delays. When a problem occurs, the knowledgeable person might be unable to react on time.

Yet, we made it work. Software engineers would work on a backup task whenever they had to wait for the client’s decision or additional information. This way, we ensured there was always progress, and we used the time wisely.

If the issue could be resolved at least partially on our side, we offered Taskworld representatives ready-to-use solutions or possible options to streamline the process further and use our expertise to the maximum.

The language difference didn’t impede our meetings in any way. The whole team could participate in all discussions and share their unique perspectives.

Our collaboration was satisfying for both sides, so our team has grown over the months. Taskworld trusted us with additional features, such as Zapier, Slack, and GitHub integrations, a new billing program, automation, and team functionality. The new scope required six software engineers, a QA engineer, and a project manager on our side.

Our expanded team was invested in making this project a success. We understood Taskworld’s situation, approach, and values; we also believed in the usefulness of their project management platform. Being treated and acting as part of the company, Evojam engineers could use their full potential and help the client reach their goals most efficiently.

The team was performing so well it got absorbed. For the product team, it was just another team we worked with. We didn’t treat them as an external team. The Evojam team was a part of our roadmap.

RESULTS

Together with Taskworld, we created online, synchronised Kanban boards with a built-in chat that serve non-technical people well. The functionalities introduced over time make it easy to manage projects and organise communication across departments effectively.
